Adding & Managing Your Bank Account

A complete, step-by-step guide for MTTS faculty, mentors, and programme local co-ordinators: how to add your bank details, submit them for verification, and respond when the Trust asks you to reconfirm before a fund transfer.

For: Faculty / Mentors / Local Co-ordinators System: MTTS 5DSPACE Portal Module: Finance › Bank Accounts
I

Before You Start

Your bank details are used for real fund transfers, so the portal checks a couple of things before it lets you add a record at all.

Who can add a bank account

Only MTTS faculty, mentors, or programme local co-ordinators - and only one record per person, ever. If you already have one, the "Add New" button won't create a second; go to your existing record instead.

1

A completed Faculty Profile

If you don't have one yet, the portal automatically sends you to Profile › Faculty Profile first, with a note explaining why. That form has its own Signature section too, so you can cover Step 2 below at the same time. Come back to Bank Accounts once that's saved.

2

A signature image on file

Upload one from Profile › Contact Profile, or directly on the Faculty Profile form - PNG/JPG, max 200 KB, exactly 600×200 px. Both save to the same signature, so you only need to upload it once. This isn't needed to add or save your account as a draft, but it is required before you can request the OTP to submit or reconfirm it, since it's printed on your acknowledgement PDF (see Chapter VI).

II

Adding Your Bank Account

This creates your record as a Draft - nothing is sent for verification yet, so you can save it, come back later, and fix anything before moving on to Chapter III.

  1. Open Finance › Bank Accounts

From the main menu, go to Finance › Bank Accounts, then click Add New.

  2. Enter your account details

Fill in bank name, branch, IFSC code, account number, account type, and PAN - each is checked for the right format as you go, so a mistyped IFSC or PAN is caught immediately rather than after review.

  3. Upload your two supporting images

A photo of your passbook / statement / cancelled cheque (to verify the account number) and a photo of your PAN card, cropped with the built-in crop tool. Exact size limits are in the table below.

  4. Save

Your record is created as a Draft and you're taken to its page. You can return and edit anything on it - including re-uploading either image - for as long as it stays a Draft.

FieldRequirement
Bank & branch nameFree text
IFSC codeAAAA0XXXXXX - 4 letters, a zero, 6 letters/digits
Account number9–20 digits, numeric only
Account typeSavings Bank Account or Current Account
PANABCDE1234F - 5 letters, 4 digits, 1 letter
Account proof
passbook / statement / cheque
PNG or JPG, under 500 KB - you'll crop it with the built-in tool, but to any shape/size you like (no fixed dimension); if it's still too large after that, the portal shrinks it for you automatically
PAN card photoPNG or JPG, under 100 KB, cropped to exactly 250×150 px with the built-in crop tool
§

Take a moment to double-check the IFSC, account number, and PAN before submitting (Chapter III) - editing any of these three fields later, after your account has been reconfirmed even once, clears that standing confirmation and asks you to reconfirm again from scratch.

III

Submitting for Verification

Submitting requires an emailed one-time passcode (OTP) in addition to being logged in, so nobody can submit your bank details just by having access to your session.

  1. Open your record and click Request OTP to Submit

You'll need your signature on file first (Chapter I) - if you haven't uploaded one, the page shows a link to add it: your Faculty Profile if it's still editable, otherwise Contact Profile (e.g. once your profile is already Approved).

  2. Check your email for the 6-digit code

You'll also get a portal Inbox note that a code was sent - the Inbox message never contains the code itself, only the email does.

  3. Enter the code and click Confirm & Submit

Your record moves to Submitted and enters the Trust's review process. Since this step already verified your details by OTP, it also counts as your Owner Declaration (Chapter V) - you won't be asked to reconfirm again unless the Trust specifically requests it later.

IV

What Happens After You Submit

From here, your record moves through the Trust's review pipeline: Submitted Verified Approved. You'll see the current status on your record's page throughout.

If it's rejected instead

A reviewer may Reject your submission with a stated reason, visible on your record's page. You can then edit the record - correcting whatever the reason points to, or re-uploading an image - and go through Chapter III again to resubmit. A rejected record left uncorrected is permanently deleted 30 days after rejection, so don't leave it sitting untouched if you still need it on file.

Sent back to Draft

A reviewer can also send your Submitted record straight back to Draft if something needs fixing before it can even be considered - not a rejection, just a request to correct something. Edit it and go through Chapter III again once it's ready.

V

Responding to a Reconfirmation Request

Before releasing certain fund transfers, the Trust may ask you to reconfirm that your bank details are still correct and up to date - a closed account or a changed IFSC after a branch merger is exactly what this catches.

How you'll know

You'll see a banner on your bank account page and get a portal Inbox notification plus a real email - again, the Inbox message never contains the code, only the email does.

  1. Open your bank account page

Click Request OTP to Confirm. You'll need your signature on file first, same as submitting.

  2. Enter the emailed code and tick the confirmation checkbox

Then click Confirm. Nothing changes until the code is entered correctly.

Your record's Owner Declaration status reads one of three ways:

Verified by owner

Shows the date you last completed the OTP.

Reconfirmation requested

Asked for, awaiting your response.

Not yet confirmed

Never asked, never volunteered.

VI

Codes, Expiry & Your Acknowledgement PDF

A few things that apply to both the submission and reconfirmation OTPs.

Codes expire after 2 hours

If it expires, or you enter it wrong too many times, use Resend Code to get a fresh one rather than continuing to retry the old code.

One request per hour, per purpose

For security, you can request at most one code per hour - tracked separately for submission and reconfirmation, so requesting one doesn't block the other. If you ask again too soon for the same purpose, the page tells you how many minutes are left.

Your acknowledgement PDF

Once a submission or reconfirmation code is verified, the Trust automatically generates a signed PDF of your bank details (with your uploaded signature) for your records. Your page shows "Acknowledgement PDF generating…" until it's ready, at which point a Download Acknowledgement PDF link appears there, and you'll get an Inbox + email notification. Every past submission/reconfirmation's PDF is also kept, separately, in the Confirmation History panel further down the page (retained for a year) - so re-confirming later never loses your earlier acknowledgements.
